Admin Assistant - CFO / Finance team - PepsiCo - Dubai

Based at our head office in Dubai this role provides administrative support to the Senior Vice President & CFO MENA Region and members of the Finance team. You will be expected to perform daily administrative duties and ad hoc tasks upon request with a high degree of professionalism and confidentiality.


Key accountabilities for the role include:


  • Provide administrative and office support activities for the team (duties may include fielding telephone calls, receiving and directing visitors, word processing, creating/editing spreadsheets and presentations, and filing).

  • Coordinate travel as needed (booking flights, processing visas, hotel bookings, transportation, etc…)

  • Manage and administer Travel & Entertainment expense reporting, including the processing of invoices accordingly.

  • Process the invoices and purchase orders in a timely manner.

  • Assist with calendar management for the team leaders as required (schedule meetings and making sure the managers’ calendars are up to date.

  • Organise meetings (internally and externally), assemble meeting material as required and make sure they run smoothly.

  • Occasional department/team event organisation.

  • Preparing reports.

  • Responsible for the collection and distribution of mail for the team.

  • Maintain confidentiality and professionalism in the handling of sensitive and confidential information and documents.

  • Complete all ad hoc duties and tasks as assigned.

  • Work well with all levels of internal management and staff, outside clients and vendors.

Skills, Knowledge and Experience Requirements:

  • At least 3 years of prior administrative work experience within a professional work environment. Experience supporting senior executives is desirable

  • Experience of providing administrative support to multiple stakeholders.

  • Polished communication and interpersonal skills with proven ability to effectively communicate at all levels within the organization.

  • Good written and spoken English.

  • Possess excellent administrative and organizational skills.

  • Proficiency in full Microsoft suite of products: Word, Excel, PowerPoint, Outlook (Requires strong computer and Internet research skills).

  • Strong team player.

  • Attention to details.

  • Maintain utmost confidentiality at all times.

  • Be able to handle high volume workload with tight deadlines.

  • Flexible with working hours.
